Hiring a Virtual Assistant or Virtual Assistant Mentor may be one of the most important decisions you make for your business– but adding a team member can be daunting, especially if it is the first time you’ve expanded your staff.

 

 

 

How do you know when it is time to hire a Virtual Assistant?

When you get to the place where it’s time to hire a qualified person to help you run your business, what do you do first?

With so many differences in rates and even specialties, you might wonder exactly what to do in order to get the best VA for you. (Or even if you need one in the first place!)

 

 

 

 

 

If you don’t know what a VA is, or what a virtual assistant mentor is, this episode will give you food for thought.

virtual assistant is a self-employed worker who specializes in offering administrative services to clients from a remote location. Think home office, or some VA’s might take it to a local coffee shop! Typical tasks a virtual assistant might perform include scheduling appointments, making phone calls, making travel arrangements, and managing email accounts. Each business owner will have their own list of things they’d like a VA to do. What’s your top three things of things for your virtual assistant to do?

 

The biggest question is often how do you know when your time is better spent serving your clients and not doing a particular task in your business? How do you know when you can afford not to be doing the things you don’t want/need to do— and hire that Virtual Assistant?

Maybe you ARE a Virtual Assistant. Scaling up your game, adding value to your clients and knowing how to offer might involve seeking out a virtual assistant mentor. We all know that hiring a business coach for whatever you offer is the best way to get on track and quickly see measurable results. Knowing how to choose a VA, making sure you have a contract, & thinking about a non-disclosure agreement are all parts of the very important decision to hire a new team member.

Meet Shelly

 

As a creative entrepreneur who became a Virtual Assistant and moved on to mentoring and teaching others how to be a VA, Shelly learned that It’s ok to try different things before you figure it out. She is a Virtual Assistant who has dabbled in a lot of different “specialties” before I finding out what she liked.

Growing her VA business as a side hustle and teaching herself along the way, she’s the first one to tell you that at the beginning she had no idea what she was doing! But she figured it out and now her goal is to teach others as a Virtual Assistant Mentor.

13:17    I think a lot I think a lot of people do try to be a Social Media Manager first and then realize, Oh, that’s a lot harder than I thought it was. So yeah, cuz I definitely tried it too. And I was like, no, not for me. So yeah, it’s important to like work in your zone of genius and not be afraid to try different things and fail and be like, oh, that wasn’t for me.

14:58    Are you ready to add a team member? Because that’s important! You don’t want to wait until it’s too late and then you’re in over your head and you don’t even have time to train someone. Right? Yet you want to make sure as a business owner to start the process is your standard operating procedure, and have all that in place as soon as you start because eventually– hopefully, you will scale and need to add a team member. You want to have all that in place before it’s too late, before you’re too busy.

19:38    When I first started out, like, I didn’t know anything, so I just I was taking whatever, just to get experience. I worked for a really low rate, just for that experience. I also would trade work for testimonials. Just to get my foot in the door and get more confident and know that I know what I’m doing. As I kept going,  I would increase my rate. You  can see also other offers out there and what they’re offering to pay and  base your rate on that.

22:25     You get to a point where you have to invest in someone like a Virtual Assistant so that you can do the money generating activities for your business.

23:49    I personally like to work with an ongoing client because I really invest in them and their business and just really like to give that ongoing support. To me it’s more about our relationship.

26:35    Your contract with a VA should protect both the business owner and the VA to include things like non-disclosure agreements, and cancellations. I have a 30 day notice in my contracts, you can’t just drop me with a no notice. So things like that are very important. I have learned to fine tune my contract, learning lessons over time. I’m like, oh, that wasn’t in my contract. Then I’ll add that!

32:38    Yeah, I love love my life coach, actually! And we ended our program and when she started a new one she asked me if I wanted to join. I was like, Yes.!!So I think that mindset is so important in a business coach. Yeah, you definitely, always, need to surround yourself with someone that can teach you how to be even better constantly,
right? Because we’re always adjusting ourselves.

34:51    I had a freebie and it wasn’t converting. Then I saw quizzes and so I was like, well try this– and it started converting it like 85%! Wow it’s insane and it just really helps you grow your email list! I think it’s because people see a quiz and like okay, that’s cool. It’s fun it’s quick, right? So you can use these quizzes in your business to lead them towards whatever product or service you have.

40:45    Top five questions to ask a VA?  What their experience & do they have examples of their previous work. When you tell them your goal for your business, do they have any ideas? How would they bring something to the table? How would they bring something to the business to help you? What hours they’re willing to work, do they have the hours to offer that you think you need.

48:54    Three pieces of advice? Just. Do. It. Don’t be scared. Just do it. start somewhere.
